A Massachusetts-based organization has been a staple of their community since the 1970s, serving individuals with intellectual and developmental disabilities (IDD). This nonprofit offers residential facilities, community-based programs, and day habilitation programs, so having a modern IT infrastructure to keep it all organized is crucial.
As the organization grew, its electronic health record system became outdated and limiting. By partnering with Davin Tech Group, they were able to undergo an IT risk assessment and start making updates to systems that make it easier to do their important work in the community.
The challenge
Updating the organization’s health record system
The organization’s CFO, Kate, explains their biggest concerns with the previous tech stack: “We were not happy with our electronic health record system. It was outdated and not giving us the results we needed. We needed to find an alternative system.”
However, Kate knew that choosing the right social assistance software would be much easier with comprehensive IT support. She needed strategic IT management and wanted someone who could help project manage both the decision-making and the implementation process.

Make the right software choice for the whole staff
It was clear it was time for a new electronic health record (EHR) system. As part of this goal, Kate wanted to make sure all the needs of her staff were represented – but she still wanted to make a decision in a timely and efficient manner.
As Kate also shares, “We wanted to have somebody from the outside who is sort of an independent third party guiding us in that choice, so that all of us could be involved in evaluating the options.”

Bring a trusted IT consultant in to help make the decision easier
Kate worked with Davin from a previous position and immediately thought of them when they decided to outsource IT services. To meet their needs, Davin Tech Group gathered information and outlined a decision-making process.
Davin made sure to include important stakeholders in making this decision: “He involved our senior management team, which represented everybody in the organization, from all of our departments. We had program directors and program team members and people from the billing department, so it was a good mix.”
The process
Equipping the staff with the right information and a decision-making process
ThThe Davin Tech Group helped organize and project manage the process, so that the staff could feel more confident and make an informed decision on a new EHR system as soon as possible.
Kate explains, “They came up with some different options that we had. They asked us if there were any options that we wanted to put into the mix. He came up with a select few…and set up times for us to do demos with each of them. Then, he created a scoring matrix that gave us an opportunity to rank each of them according to where we thought that they fell.”
The outcome
New EHR software to modernize the organization
After outlining their options and letting the staff rank each solution, Their team compiled the rankings and presented the clear winner. They set up a meeting for everyone to go over the choice and even helped with the contract negotiations.
Since then, the team has incorporated the EHR platform into their programming. It’s fully rolled out to all departments and teams are starting to learn the tool.
The results
Changing the way this human services staff operates
TThe new database has helped the company transition away from the paper age and start storing their records digitally. Kate and her staff are thrilled to be able to quickly and easily capture important information electronically. She shares, “This improves the accuracy of our record keeping.”
Though this system is fairly new, she expects the transformation to continue. The team will be adding a billing component in the near future.
