Improving an animal hospital’s new location with modern tech so they can work more efficiently

When Dan H. purchased a long-running animal hospital in Massachusetts, he knew he’d have some work ahead of him. Moving the hospital, which had been operating out of a home’s basement for decades, was a priority, along with updating the business’s tech. 

Davin Tech Group had to undo some work done by a previous firm that didn’t meet their needs, and re-establish Dan’s trust in an IT partner. But now, the animal hospital’s new location is high-tech and more efficient, making it easier to retain clients and provide better care to the animals. 

The challenge
Setting up the hospital’s new location with streamlined, modern tech

When Dan took over the animal hospital, it had been operating in a 900 square foot basement for around 50 years. Dan knew he wanted the practice to be, “expanded, moved, and improved.” They were long overdue for a complete business overhaul.

Moving locations and setting up totally new infrastructure is enough of a challenge for any team, but unfortunately, they initially outsourced IT services from another tech firm that didn’t work out. Dan shares, “We got a lot of bad advice and bad work for a long time… I was dealing with people who really didn’t know what they were doing.” 

Another challenge was that the technology they did have simply wasn’t functioning properly. “Wifi networks didn’t work, the hardware wasn’t working correctly and [the systems] weren’t working with each other.”

The goals
Technology that works and better tech advice

Dan needed better IT management and strategy that he could trust. He wanted his hospital to have high-tech veterinary technology to make his team’s job easier and improve his services. He wasn’t happy with the work of a previous firm, and needed to work with a partner that could offer better suggestions, update the hospital’s infrastructure, and provide ongoing tech support.

The solution
Start from scratch with an experienced IT partner

To meet these challenges, Dan knew the hospital needed to reconnect with Corey and bring on a group that could offer better service and advice. The Davin Tech Group needed to restore Dan’s faith in IT firms, and start from scratch when it came to building out the hospital’s infrastructure and setting up the team for a high-tech and efficient operation. This included setting up better software that streamlined daily operations, suggesting innovative solutions to current challenges, and providing comprehensive IT support to the hospital staff.

Building out better infrastructure and providing ongoing support

Not only was it crucial to update existing infrastructure to suit the team’s needs, we also wanted to be The previous firm had recommended some expensive and overly-bulky tech solutions. Dan explains, “It turns out the company that I hired wanted to do incredibly unnecessary, ridiculous, expensive things,” but Davin Tech Group was able to offer more up-to-date, space-saving options. Dan recounts our promise: “It’s going to be a lot cleaner, less expensive, and won’t be obsolete as quickly.” 

Instead of dedicating an entire room in the hospital to servers and the associated equipment, we knew we could minimize the space that the IT equipment took up, leaving more room for his veterinary operations. As Dan shares, “It was supposed to take up an entire room that now has five cages, veterinary equipment, and an exam table. Now [our tech storage] is the size of a kitchen cabinet.” 

We also attended weekly meetings with the contractors during the build out, got to know the needs of Dan and his team, and provided suggestions for both software and hardware that would work better for the hospital. 

It was important to be proactive and offer innovative solutions that the team might not have considered. For example, after they mentioned that people used curbside services or preferred to wait for their pets and work from the car, we recommended putting an all-weather Wifi hotspot on a light pole outside in the parking lot.

“They think of things that I don’t know about. I can kind of sit back and know that somebody who knows what they’re doing is gonna tell me what to do.”

The outcome
High-tech vet care and scalable solutions

Dan and his team were able to modernize every aspect of their operation and leave paper and pen communication and record keeping in the past. This lets them keep more detailed records and provide better care to the animals – all while saving time. He happily shares, “Everything runs on tech now… The rate of efficiency we have means we’ve cut some of our appointment times in half.” 

The staff is able to access records at home, print things remotely, and connect their systems with third parties that handle things like bookkeeping. They are also able to operate more confidently knowing that they have systems in place to keep them compliant and track annual training and recertifications — also saving tons of the owner’s personal time. “I can get an alert now if somebody hasn’t done their certification – it’s all these things that I would usually forget about.”

Plus, Davin Tech Group provides ongoing technical support to the staff when it’s needed, and recognizes how high-stress their jobs can be. Dan shares, “They’re good at recognizing that my staff can be a little [high-strung] at times due to the nature of our business, and [they] are very understanding with open communication.”

The results
Efficiency and client retention have skyrocketed

Dan shares that thanks to the new technology, “Efficiency has skyrocketed.” 

He also believes the tech has impacted his ability to retain his customers. He shares how impressed they are when he gets lab work notifications to his watch or easily pulls up X-ray files on his computer.

“We look like a high-tech veterinary hospital… People come in, they see the value like, ‘wow, this place is really on top of things, they are really cutting edge.”
